What is WeChat Work? Why should businesses use WeChat Work instead of personal WeChat?

WeCom is Tencent's enterprise-grade communication and collaboration tool. While it looks similar to WeChat, the key difference is that customer contacts added via WeCom belong to your company—not individual employees. Think of it as "WeChat for Business": you can chat with regular WeChat users while gaining access to advanced features like customer management, payments, and bulk messaging.

We've worked with countless small businesses and witnessed too many painful lessons. The first pain point is customer asset loss: when all clients are added to employees' personal WeChat accounts, leaving staff take the entire client base with them. Some sales reps even move customers to new groups to continue using competitors' products. The second pain point is lack of payment receipts: using personal WeChat for transfers leaves no formal transaction records. If a client claims they didn't pay, there's no proof, making legal disputes impossible to resolve. The third pain point is employees taking clients upon departure: for small businesses, customer resources are their lifeline. Once they leave with the staff, years of accumulation vanish overnight. Enterprise WeChat solves all three issues at once—customer assets belong to the company, payments have official records, and departing clients can be instantly reassigned to other colleagues for continued follow-up.

We help clients configure Enterprise WeChat in four steps. Step 1: Enterprise Verification—verify using the business license in the Enterprise WeChat admin console to unlock full functionality, including customer management, payments, and mass messaging. Step 2: Configure Customer Service Bots—set up auto-welcome messages and FAQ auto-replies so new contacts receive immediate responses and maintain a professional image without manual oversight. Step 3: Enable Payment Features—activate payment QR codes and the mini-ledger within Enterprise WeChat for direct customer payments, with transaction records automatically archived for full traceability. Step 4: Build Customer Groups—create segmented groups by industry, region, or purchase stage to enable precise operations and targeted messaging. We also typically set up a customer tagging system to make each client's follow-up status instantly clear.

There are two common pitfalls. First, employees don't use it even after activation. Many businesses invest time setting up WeChat Work, but staff still prefer personal WeChat for client communication, rendering the tool useless. Our experience shows you must enforce a strict rule: all client communications must go through WeChat Work. Any business discussions on personal accounts should be corrected immediately. Second, failing to handle employee departures properly. When an employee leaves, admins must perform "Departure Inheritance" in the backend to reassign their clients. If this step is skipped, those clients become unassigned and lost.
