What is a branded email? Why does yourname@yourdomain.com look more professional than free email addresses?
A branded email uses your own domain as the suffix. For example, if your domain is fanridge.com, your email address would be yourname@fanridge.com. Unlike QQ Mail or 163 Mail, the suffix is your brand name—not the name of a free email provider.
Too many small business owners use personal QQ email to negotiate with clients. When sending a quote from zhangsan@qq.com, the client's first thought is, "Are they using a personal email to do business?" But if you send from zhangsan@fanridge.com, the impression is completely different. A branded email signals that you are a professional company with strong brand awareness. Plus, when employees leave, you can reclaim their accounts so client data stays with the company. You can also set up department-specific addresses like sales@, hr@, and support@ to show a clear organizational structure.
We typically set up branded email accounts for clients in four steps. First, you need your own domain name; if you don't have one, register it first. Second, choose an email service provider. Popular options in China include Tencent Enterprise Mail, Alibaba Cloud Email, and NetEase Enterprise Mail. Tencent's Basic plan is free and supports 5 accounts, which is sufficient for small businesses. Third, add your domain name in the email provider's admin console and follow the instructions to configure DNS records (specifically, add an MX record). Fourth, wait for the changes to propagate (usually between 10 minutes and 24 hours), then create email accounts and start using them.
The most common pitfall is failing to set up a corporate signature. While branded email addresses convey professionalism, omitting a consistent signature (company name, title, phone number, and website link) undermines that credibility. Another frequent issue is not reclaiming email accounts when employees leave. A key advantage of branded email is asset ownership by the company; when an employee departs, their account must be reclaimed. Otherwise, clients may continue sending messages to the old address, resulting in lost information.
